Enterprise Data Analysis Beyond Excel's Limits

The Challenge

A Fortune Global 500 manufacturer’s finance and operations teams regularly exported datasets from SAP that exceeded Excel’s 1M+ row limits. Analysts spent days manually splitting files, building fragmented PivotTables, and reconciling numbers across business units. Critical monthly reporting was delayed, and decision-makers lacked timely insights.

Our Approach

This was earlier work, built on a traditional RPA platform before we began building automation with AI. We designed a fully automated end-to-end solution using RPA to extract data from SAP, followed by advanced VBA and Power Query to refresh connections, update PivotTables, and leverage the Data Model (Power Pivot) with DAX for complex calculations. Completed reports were automatically saved to SharePoint with email notifications containing direct links. The solution required no new software licenses and preserved the familiar Excel interface users already trusted. What made it scale across 25-plus companies was one Excel template: each company's SAP export landed in its own file, so the Power Query connection could not point at a fixed path. The M query reads the file name from a cell on a worksheet in the template and builds the connection from it, so the same template opens any company's export without anyone touching the query.
